Key responsibilities
Responsibility Areas / KRAs – Purchase Manager
- Strategic Sourcing & Supplier Development
Identified and onboarded competitive global suppliers, building long-term partnerships and achieving cost savings through negotiation and supplier performance improvement initiatives.
Sourced and evaluated suppliers/manufacturers from China, Europe, and the Far East for FMCG, FMCD, food, commodities, confectionery, kitchenware, and electronics categories.
Initiated, negotiated, and managed supplier contracts to ensure competitive pricing, quality standards, and reliable supply continuity.
Conducted regular supplier performance reviews and implemented cost reduction strategies.
Identified and developed new suppliers and product lines based on market feedback, trend analysis, and comparative sample evaluation.
- Procurement Operations
Managed the complete procurement lifecycle including RFQs, purchase orders, sampling, QC checks, contract finalization, and logistics coordination through ERP (Axpert).
Raised, reviewed, and approved purchase orders ensuring accuracy in specifications, pricing, quantities, and compliance requirements.
Generated Pro Forma Invoices and coordinated purchase requests with internal teams.
Tracked shipments, supplier payments, and ensured timely supplier communication and follow-ups.
- EXIM & International Coordination
Coordinated with partners/customers and logistics teams for smooth international operations and export shipment dispatch.
Ensured regulatory and documentation compliance for international shipments including product labeling, customs clearance, and export registrations across multiple markets.
Managed customs-related activities and private label development as per business requirements.
- New Product Development (NPD)
Initiated white/private label programs and sourced new product lines based on market trends and customer feedback.
Conducted comparative analysis of samples and market research to support new product introductions.
- Cost Optimization & Negotiation
Led supplier price negotiations, MOQ finalization, Incoterms selection, and landed cost analysis to improve profitability and protect margins.
Analyzed supplier competitiveness and ensured alignment with organizational cost and margin expectations.
- Cross-Functional Leadership
Collaborated with Sales, Finance, Logistics, and Quality teams to ensure seamless supply chain execution and effective stakeholder communication.
Provided regular updates on order status, shipment delays, sales forecasts, and procurement reports to suppliers and internal stakeholders.
- Audit-Ready Documentation & Compliance
Maintained procurement records, supplier communication trails, and documentation aligned with audit and compliance standards.
Ensured all procurement and EXIM documentation remained accurate, compliant, and audit-ready as per company policies.
Desired candidate profile
Excellent English communication; strong price negotiation and costing skills; in-depth
understanding of confectionery, food, kitchenware, electronics product lines
Knowledge of FMCG/FMCD/Food product standards, packaging, and shelf life
Strong vendor negotiation, cost analysis skills, and supplier management
Excellent English communication; Hindi/Mandarin proficiency is a plus
Proficiency with MS Excel and ERP systems (Axpert); multitasking and attention to detail
Market research capability for new suppliers/product development
Good team management, coordination, and analytical thinking
Familiarity with Asian, Far East, Europe, and African market trends and challenges
Experience in international trading/import with global suppliers in these product
categories
Experience handling a minimum of 150–200 container loads/month and 4000–5000
SKUs (preferably 500+ containers/month for Africa markets)
Managed at least 10 suppliers and customers per transaction
Exposure in international trading, especially with China, Europe, Far East, Africa
Willingness to travel internationally for vendor visits/trade fairs
Effective communication and coordination
High attention to detail and urgency
Negotiation and analytical thinking
Self-driven and proactive mindset
Bachelor’s degree in Business, Commerce, International Trade, or any stream
MBA/PG Diploma in Supply Chain / International Business preferred; Certification in
Purchase Management/Supply Chain is an advantage
Work Experience
9 – 10+ years in purchasing/procurement or export trading, preferably in
FMCG/FMCD/Food or export-import companies; must have experience dealing with
international suppliers and vendors
