PROCUREMENT MANAGER
Mumbai, India · October 26, 2026
Actively Hiring
Key responsibilities
Key Responsibilities
- Project procurement planning: Translate approved scopes, BOQs/BOMs, quantities, specifications and execution schedules into package-wise procurement plans, delivery dates and priority trackers; flag long-lead or high-risk items early.
- Contractor and vendor sourcing: Identify, visit, assess and empanel civil contractors, repair/renovation vendors, fit-out and fabrication agencies, MEP/WASH suppliers, furniture and logistics partners across priority project geographies. Build local alternatives and a dependable backup network.
- RFQs, tender comparisons and negotiation: Issue comparable enquiries; obtain competitive quotations (normally three qualified bids for critical packages, or a documented approved exception); prepare BOQ-aligned comparisons and negotiate rates, taxes, freight, installation, payment milestones, warranties and service terms. Evaluate value for money, not price alone.
- Commercial contracting and change control: Prepare procurement approval notes, POs/WOs and commercial schedules
against approved budgets and the Delegation of Authority. Ensure signed terms precede routine mobilisation. Track approved additions, variations and rate changes; do not regularise undocumented commitments after the fact.
- On-time supply and site coordination: Track vendor mobilisation, manufacturing/dispatch, material delivery and installation dependencies across active sites. Resolve shortages, delayed supplies and vendor failures with Project Managers; ensure site teams verify quantities, specifications, receipt, condition and completion.
- Vendor performance and market intelligence: Maintain vendor records, market-rate references, negotiated rate cards, backup suppliers and performance scorecards covering quality, capacity, responsiveness, timelines, safety and post-delivery support.
- Documentation, invoicing and audit readiness: Keep complete RFQ, comparative, KYC, approval, contract, delivery, variation and invoice-support files linked to each project. Coordinate with Project Controls and Finance so bill/payment packs contain required procurement evidence and discrepancies are resolved before release.
- Cross-functional procurement: Work with Budgeting/Design on specifications and approved rates, Execution on project schedules and technical verification, STEM/Programs on their approved technical requirements, and Finance on commercial compliance, coding and payments. Support other authorised organisational purchases when assigned.
