The Chartering Manager is responsible for executing the commercial strategy of the
business with the goal of optimizing revenue performance. He communicates with freight
traders, brokers and end users throughout the worldwide trade market to source the optimal
shipping solution, maximize potential earnings in the most cost-effective manner.

Accountabilities

1. Looking for clients/charterers and being available 24/7 always high-quality

services for customers

• Analysis of clients/charterers` satisfaction with our services
• Maintain and increase the Client`s data base
• Calculating quotations based on a detailed description of the cargo, packing list,

IMO class, restrictions on stacking and other restrictions

1. Freight of cargo according to direction, and a combination of opened positions

and vessels with the available spot cargo

• Obtain full required information about the cargo, including description, packing list,

certificates, drawings

• Providing a financial plan of the planned shipment for Operations Manager`s

approval before sending it to Financial Department

• Risky decisions to be approved by CEO/Head of Chartering Department
• Unprofitable contracts to be approved by CEO/Head of Chartering Department
• Verification of Client`s (Charterer`s) financial stability before signing the contract
• Checking the compliance of the vessel with the cargo scheduled for transportation
• Providing the charterer full information about the vessel and her drawings
• Providing the charterer stowage plan
• Take the confirmation from the charterer for the proposed vessel and stowage plan
• Checking if the schedule of the vessel matches the time of cargo transportation,

identifying the risks of delay

• Preparing the contract (Booking Note, Charter Party) in Lotus
• Monitoring the quality of customer service made by operations and post-fixing

department

• Control the compliance of the cargo with the original description in cooperation with

the operations department to make the invoice

• Monitoring the ETA notices which operations department provides to clients
• Checking the Operations Manager`s calculation about the laytime, demurrage and

dispatch
Checking and confirmation the invoices on chartering, demurrage and other
penalties

• Checking the reports done by Operations department

1. Regulate the complains with the charterer until this is forwarded to Arbitrage

• Monitoring the status of trial until the final decision is made

1. Preparing the Charter Party Contract - Execute all necessary arrangements,

negotiating the Charter Party signing in accordance with the instructions and
Company`s policy

• Identify:
• the compliance of vessel`s technical characteristics with the requirements of cargo
• the compliance of the vessel`s capacity with the cargo requirements, considering the

options with the amount of cargo

• the compliance of the vessel`s DWT with the requirements of the planned cargo
• the compliance of the selected vessel, her lifting equipment, cargo holds and other

technical characteristics with the requirements of the cargo.

• Ensure
• the weather conditions and ports load are in accordance to planned financial result

and schedule

• the planned trading area and ports of calling are in accordance to shipowner`s

restrictions

• vessel suits trading area, channel restrictions and WRA
• the chosen vessel can enter the ports of loading and discharging considering the draft,

the length and width vessel`s restrictions

• the selected vessel can enter the ports of loading and discharging considering the

cargo (dangerous goods, regime cargo, cargo for transshipment)

• financial feasibility of the rent/charter of a vessel
• Identify the birth (to insist on personal berth if the conditions are LINER IN/OUT; if

not – to agree with client that he will cover the expenses in birth delay)

• Insist on the nomination of agents from the charterer`s side in the case of Liner

in/Liner out terms, or forwarding to Operations department the details of the charterer's
agents in case Free in/Free out terms

1. Preparing the General cargo chartering:

• Exact size of each cargo unit
• Maximum weight of each cargo unit
• Stowage factor
• Maximum possible load stacking
• Possibility transportation on deck
• The need of special lifting or handling equipment
• Special conditions of transportation, storage, lashing

1. Preparing the Bulk cargo chartering:

• Stowage factor
• Cargo slope angle
• Possible humidity
• Maximum acceptable temperature of transportation and storage
• Maximum acceptable load stacking
• The need for special lifting or handling equipment
• Special conditions of transportation, storage
• If possible, negotiate laytime without reference to fine days and avoid the conditions

“Customary Quick Despatch”; but if applicable oblige the charterer to load / disch “as fast as
vessel can” and be responsible for the waiting for birth/cargo/transport/documents/recipients
and senders

• If possible, identify stevedores (in the case of FREE IN/FREE OUT) and the charterer's

agent as “charterer’s representative”

• In case special transportation, loading, or load / lifting devices are needed, identify who is

responsible for the implementation, time and cost

• Made the payment rules for brokerage and address commissions

Authority
The Chartering Manager has the authority and obligation to request training in the
understanding of Varamar quality procedures and processes as required in order to carry
out the duties in full compliance with the procedures.
